What it checks
Four checks, all from your own numbers
-
Cash runway
Cash in the bank today and, if it has been falling, how many months it lasts at the recent pace and roughly when it would run out.
-
Overdue customers
How much customers owe you past the due date, how much is over 60 days, and the customers who owe the most.
-
Margin trend
Gross margin over the last 3 months against the 3 before (net margin if you have no direct costs), and profit or loss over the period.
-
Top 3 things to fix
The most material problems in your figures, biggest first, each with a plain next step.

Kauri Joinery Ltd: health check
Cash runway · Looks healthy
Cash is not falling, so there is no runway countdown.
- Cash in the bank today: $79.6k.
- Three month-ends ago it was $85.7k; cash did not fall in at least 2 of the last 3 months.
Overdue customers · Worth a look
$52.5k owed to you is past due.
- Customers owe $271k in total; $52.5k of it is past due, across 3 invoices.
- Owing most: Fletcher Living $38.4k (42 days late); Mitchell & Sons Builders $9.8k (18 days late); Waiheke Holiday Homes $4.2k (6 days late).
- That is 28% of an average month's sales (last 3 months).
Margin trend · Worth a look
Gross margin fell 4 points to 52%.
- Gross margin August to October: 52%, against 56% in the 3 months before.
- Over those 3 months the business made a profit of $123.5k on $565k of sales.
- In plain terms: from every $100 of sales, $52 was left after direct costs.
Top 3 things to fix
- 1Chase Fletcher Living for $38.4k. It is 42 days overdue. A short call, or a reminder with the invoice attached, is a good start.
- 2Timber and sheet materials up. Timber and sheet materials was $73.6k in October, $18.3k (33%) more than its usual $55.3k a month, allowing for the level of sales.
- 3Gross margin. Gross margin was 46% in October, down from 55% in September. In plain terms: from every $100 of sales, $46 was left after direct costs, against $55 the month before.
How it works
About ten minutes, start to finish
-
Step 1
Connect Xero
Click "Get my free health check" and choose your organisation on Xero's own screen. ReportPilot gets read-only access.
-
Step 2
Wait a few minutes
ReportPilot reads 24 months of Profit and Loss, balance sheet and invoice history from Xero.
-
Step 3
Read your health check
See cash runway, overdue customers, margin trend and the top things to fix on screen, with a copy by email.
After that, nothing happens unless you want it to. If you would like the same check every week, turn on the Monday email: a short version of this with what changed and one thing to do, plus a 24-month dashboard. That starts a 14-day free trial, still with no card (pricing, sample email).
Prefer to type a few figures in yourself? The free cash runway calculator and debtor days calculator work without Xero. For what "doing well" means in numbers, see how to know if your business is doing well.
Fair questions
Questions
What is the Xero health check?
A one-off report on how your business is doing, worked out from your own Xero figures: cash runway, overdue customers, margin trend and the top three things to fix. You see it on screen a few minutes after connecting Xero, and we email you a copy.
Is it really free? Do I need a card?
Yes, and no card. The health check does not start a trial or a subscription. If you want the weekly version, you can turn on the Monday email afterwards, which starts a 14-day free trial, still with no card.
What happens after the health check?
Nothing, unless you choose to turn on the weekly email. We send you the health check once and no onboarding or trial emails. You can disconnect ReportPilot from Xero at any time.
What access does it need to Xero?
Read-only. ReportPilot reads reports, invoices, contacts and settings to build the health check, and cannot create, change or delete anything in your books. You pick which organisation to share on Xero's own screen.
How long does it take?
Connecting takes about two minutes. ReportPilot then reads 24 months of history, usually within a few minutes; the page refreshes by itself and the email arrives as soon as it is ready.
How is "cash runway" worked out?
If cash fell in at least two of the last three months, ReportPilot takes the average monthly fall over those three months and divides today's bank balance by it. If cash is not falling, there is no runway countdown and the check says so.
Does it compare my business with others?
No. Every figure comes from your own Xero data. There are no benchmarks, scores or industry averages, so nothing in it is a guess about other businesses.
Does it work with QuickBooks or MYOB?
Not yet: ReportPilot connects to Xero only. The free calculators in our tools section work with figures from any accounting software.
