Fathom reporting alternative: ReportPilot vs Fathom
ReportPilot vs Fathom for Xero: prices, features, who each suits. Fathom wins on forecasting, consolidation and custom KPIs; ReportPilot on a weekly email.
Fathom details checked on 24 October 2026 from Fathom's own website
Short answer: Fathom (the management reporting app at fathomhq.com) is a broad analysis suite for accounting firms: branded management reports, three-way cash flow forecasts, budgets and scenarios, consolidations with eliminations, custom KPIs and benchmarking across clients, from USD 59 a month per company. ReportPilot does far less, on purpose: it reads Xero and emails each owner a short plain-English summary every Monday, with a 24-month dashboard and scheduled report packs, from USD 19 a month. Choose Fathom if you sell advisory work built on forecasts and custom reports. Choose ReportPilot if most clients only need to know how they did and what to do next.
This page is about Fathom the management reporting app (fathomhq.com), not the Fathom AI meeting notetaker or Fathom Analytics.

Where Fathom is the better choice
- Forecasting: three-way cash flow forecasts, budgets, scenarios and what-ifs. ReportPilot does none of this.
- Consolidation of groups, with eliminations and several currencies.
- Custom management reports and KPIs, including non-financial ones, and benchmarking clients against each other.
- Ledgers other than Xero: QuickBooks, MYOB and FreeAgent.
- An AI commentary writer for the reports an advisor sends.
Where ReportPilot is the better choice
- The owner does not have to open a report: the Monday email says, in plain English, how much cash there is and how long it lasts, how sales and profit compare, who owes money and one thing to do this week.
- Price: USD 19 a month for one organisation against Fathom Pro Starter at USD 59, and USD 49 for up to 15 clients.
- No report-building: the email and dashboard work the moment the 24 months of history load, usually within a few minutes of connecting.
- Approve-before-send on scheduled report packs, so nothing reaches a client before you have looked.
- Everyone on the email gets a read-only link to the 24-month dashboard, without a login.
ReportPilot does not consolidate companies, build forecasts or budgets, or let you design custom reports and KPIs. It connects to Xero only.
What it costs
For one company: Fathom Pro Starter is USD 59 a month; ReportPilot Owner is USD 19. For 15 clients: Fathom Pro Silver covers 10 companies for USD 315 and each extra one costs USD 31, so 15 companies come to USD 470 a month (315 + 5 × 31); ReportPilot Bookkeeper covers 15 for USD 49. The two prices do not buy the same thing: Fathom's includes forecasting, consolidation and custom reporting that ReportPilot does not do.
Who each is best for
Fathom: firms that sell advisory, forecasting and board reporting, consolidate groups, or report on clients outside Xero.
ReportPilot: owners on Xero who want to know each Monday how the business is doing, and bookkeepers who want every client to get that email under their name without building reports.
Trying ReportPilot next to Fathom
You do not have to switch to compare. Xero lets one organisation connect to several apps at once, and ReportPilot only reads from Xero, so it cannot change anything another app relies on.
- Connect Xero with Connect Xero: pick the organisation on Xero's own screen. ReportPilot gets read-only access; no card is needed for the 14-day trial.
- Read the first email. ReportPilot loads 24 months of history, usually within a few minutes, and sends the first insight email. Put it next to the report you get from Fathom today and ask which one the owner would actually read.
- Set up one report pack (bookkeepers): the Profit and Loss, Balance Sheet and aged receivables as PDF or Excel, monthly, with approve-before-send so nothing reaches a client before you have looked at it.
- Run both for a full month end. Only then decide whether some or all clients move. Keep Fathom for the work ReportPilot does not do: consolidation, forecasts and custom reports.
Common questions
Is ReportPilot a replacement for Fathom?
Only for part of what Fathom does. If you use Fathom to send clients a monthly view of their numbers, ReportPilot can do that job with a plain-English weekly email and scheduled report packs. If you use Fathom for forecasts, budgets, consolidations or custom KPIs, keep Fathom: ReportPilot does none of those.
How much does Fathom cost?
On 24 October 2026 Fathom's pricing page listed Pro Starter at USD 59 a month for 1 company, Silver USD 315 for 10, Gold USD 450 for 25 and Platinum USD 805 for 50, with a charge for each extra company, and a Portfolio plan from USD 67 a month for 100 companies. Prices exclude sales tax; check fathomhq.com for current prices.
Can I use Fathom and ReportPilot together?
Yes. Xero lets an organisation connect to several apps, and ReportPilot only reads from Xero. Some firms keep Fathom for clients who need forecasting and use ReportPilot for the weekly email to everyone.
Does ReportPilot do cash flow forecasting like Fathom?
No. ReportPilot tells you how long cash lasts at the recent pace of change, which is a projection of the last three months, not a forecast you build. For a real cash flow forecast, use Fathom, Xero's own short-term cash flow, or our free cash flow forecast template.
Does ReportPilot work with QuickBooks or MYOB?
No, Xero only. Fathom also connects to QuickBooks, MYOB and FreeAgent.
