Xero reporting tools compared: Fathom, Syft, Spotlight Reporting and Joiin

What Fathom, Syft, Spotlight Reporting and Joiin each do best for bookkeepers on Xero, how they charge, and when a simple monthly email to clients is enough.

Updated 3 November 2026

ReportPilot sends each client a plain-English Monday email from their Xero, under your name. Try it free (14 days, no card)

Short answer: the four best-known Xero reporting apps overlap, but each has a centre of gravity. Fathom is a broad analysis and management reporting suite with KPIs, forecasting, consolidation and scheduled reports. Spotlight Reporting is built around advisory work: reporting, cash flow forecasting, dashboards and a group tool for franchises. Syft (which Xero announced it was acquiring in September 2024) combines dashboards, reports, forecasts and consolidation. Joiin is strongest at consolidating several companies, including companies on different accounting systems, into one set of reports. All four offer a 14-day free trial. If most of your clients only need their monthly figures in their inbox with a sentence or two on what changed, a full suite may be more than you need. Count what each client actually reads before you choose.

This guide is for bookkeepers and small practices choosing a tool. For one-to-one comparisons with prices, see ReportPilot vs Fathom, Syft, Spotlight Reporting and Joiin. There are also pages for Reach Reporting (an FP&A platform with a client portal), Xero’s own analytics (formerly Analytics Plus) and Reportpost (scheduled Xero report emails), or see all comparisons. It only describes what each vendor says on its own website as of October 2026, so check the current feature and pricing pages before you buy. For the wider set of options (including doing it by hand), see automating Xero report emails: the options compared; for the rest of a practice’s software (ledger, document capture, practice management), see software for bookkeepers.

How they charge

The pricing models differ more than the headline numbers, and that is what decides the cost for a practice:

  • Joiin prices by the number of companies you report on. Its pricing page shows the Core plan for one company, with a lower monthly rate if you pay yearly, in GBP, USD, EUR, AUD or NZD.
  • Fathom has a lighter Portfolio plan for many companies and a Pro plan that includes 25 companies with a charge for each extra company.
  • Spotlight Reporting sells practice plans and business plans. On 24 October 2026 its New Zealand pricing page listed the Basic advisor plan at NZ$329 a month for up to 10 organisations (up from NZ$295 on 1 October 2025), and a Business plan at NZ$65 a month for one organisation.
  • Syft lists its plans on its own pricing page; its free Xero integration and paid plans have different features.

So the useful sum is not the price of one plan. It is the yearly cost divided by the number of clients who will actually read what you send.

A worked example: what does a 22-client bookkeeper need?

Take a bookkeeper with 22 Xero clients. Before choosing, they list what each client really uses:

What the client wantsClientsNeeds a full suite?
Profit and Loss and bank position each month, with a line on what changed15No
A board pack with Balance Sheet, aged debtors and commentary, monthly4Sometimes
A three-company group consolidated into one set of figures1Yes (consolidation)
A 12-month cash flow forecast, reviewed each quarter2Yes (forecasting)

Today they export and email by hand. At about 10 minutes per client per month, that is 22 × 10 = 220 minutes, about 3.7 hours a month, or 44 hours a year, mostly spent on the 15 simple clients.

Two sensible set-ups come out of that table:

  1. One suite for everyone. Simple to run, but they pay for consolidation and forecasting on all 22 clients when only 3 use them.
  2. A suite for the 3 complex clients, and a lighter delivery tool for the other 19. The 15 simple clients get their figures automatically, the 4 board-pack clients get a scheduled pack with a review step, and the suite licence covers only the clients who need it.

Neither is right for everyone. The point is to decide from the table, not from the longest feature list.

How to choose

  • You consolidate groups or companies on different systems: start with Joiin or Fathom, which both put consolidation at the centre. For two or three companies, a spreadsheet can do it; the consolidated profit and loss guide shows the eliminations with a worked example.
  • You sell advisory work, forecasts and budgets: Spotlight Reporting and Fathom are built for that conversation; Syft also forecasts.
  • You benchmark clients against each other: Fathom lists benchmarking and ranking across clients.
  • Your clients mostly want “how did we do, and is anything wrong?” each month: a scheduled email with the key figures and a short plain-English note may do the job, and clients are more likely to read it than a 20-page pack. See how to send Xero reports to clients and variance commentary examples.
  • You only need the Profit and Loss sent monthly: see emailing a Xero Profit and Loss every month before paying for anything.

Whichever you trial, use the 14 days on three real clients: one simple, one with a board, one group. Time how long the first month’s reports take to set up and to send.

What Xero does on its own

Xero’s own reports cover most of what a small client reads: Profit and Loss, Balance Sheet, aged receivables and payables, Executive Summary, Budget Variance and saved report packs. What Xero does not do yet is email a report on a schedule: the most-voted reporting idea on Xero’s product ideas forum asks for exactly that, and in May 2026 Xero said it was exploring it. See Xero report scheduling: what Xero does and doesn’t do and the monthly management pack from Xero.

Common questions

Is Syft owned by Xero? Xero announced in September 2024 that it was acquiring Syft Analytics. Syft still has its own website and plans, so check its current pricing for what the free Xero integration includes.

Which Xero reporting app is cheapest? It depends on how many companies you report on. Joiin charges by company, Fathom Pro includes 25 companies and charges for extra ones, and Spotlight Reporting sells practice plans. Divide the yearly cost by the clients who will actually read the reports.

Do these apps change data in Xero? Reporting apps read your Xero data to build reports. Check the permissions shown on Xero’s connection screen when you connect any app.

Can I try them before paying? Fathom, Spotlight Reporting and Joiin all advertise a 14-day free trial, and Joiin says no card is needed.

Do I need consolidation? Only if a client has more than one company and wants one set of group figures. For a single company, Xero’s own reports already show everything a consolidation tool would.

Can I send Xero reports to clients automatically without a reporting suite? Yes. Dedicated delivery apps connect to Xero and email report packs on a schedule; see automating Xero report emails for the options.

Where ReportPilot fits

ReportPilot is the lighter tool in the worked example, not a full analysis suite: it does no consolidation or three-way forecasting. It connects to Xero with read-only access and sends each client a plain-English email with their key figures under your practice’s name, plus scheduled report packs (Profit and Loss, Balance Sheet, aged receivables and more) as PDF, Excel or CSV, weekly, monthly or quarterly. Approval mode sends each pack to you first with an “Approve & send” link. The Bookkeeper plan is US$49 a month for up to 15 organisations and the Practice plan US$129 a month for up to 50, priced by plan rather than per client (pricing), with a 14-day free trial and no card. In the worked example, the 19 clients outside the suite would need the Practice plan, about US$6.80 per client a month. You can see a sample email or try the demo first.
