Reportpost alternative: ReportPilot vs Reportpost
ReportPilot vs Reportpost for scheduled Xero reports: Reportpost is cheaper with more report types; ReportPilot adds a weekly email, dashboard, approvals.
Reportpost details checked on 1 November 2026 from Reportpost's own website
Short answer: Reportpost does one thing well: it emails standard Xero reports (17 of them, as PDF, Excel or CSV) on a schedule, and it is cheaper than ReportPilot on every plan, from USD 12 a month. ReportPilot also sends scheduled report packs, but its main product is different: a plain-English email every Monday that says what the numbers mean (cash and how long it lasts, sales and profit, who owes money, one thing to do), plus a 24-month dashboard and approve-before-send. Choose Reportpost if clients want the reports themselves and price matters most. Choose ReportPilot if they want to know what the reports say.

Where Reportpost is the better choice
- Price: USD 12 / 39 / 99 a month against ReportPilot's USD 19 / USD 49 / USD 129, and yearly billing with two months free (ReportPilot is monthly only).
- More report types: 17 standard Xero reports, against 11 in ReportPilot packs, plus comparison columns and tracking-category splits.
- An every-two-weeks schedule, and your logo on the PDF cover page.
Where ReportPilot is the better choice
- The plain-English Monday email: what changed, why (the account line that moved most), who owes money and one thing to do, written from the figures.
- A 24-month dashboard for each organisation, with a read-only link for each person on the email.
- Approve-before-send: each pack can come to you first with an "Approve & send" link.
- More organisations per plan: up to 15 on Bookkeeper (Reportpost: 10) and 50 on Practice (Reportpost: 40).
ReportPilot does not consolidate companies, build forecasts or budgets, or let you design custom reports and KPIs. It connects to Xero only.
What it costs
At full capacity the price per organisation is close: Reportpost Bookkeeper is USD 3.90 an organisation (39 / 10) against ReportPilot Bookkeeper at USD 3.27 (49 / 15); Reportpost Practice is USD 2.48 (99 / 40) against ReportPilot Practice at USD 2.58 (129 / 50). For a single business, Reportpost Solo (USD 12) is cheaper than ReportPilot Owner (USD 19).
Who each is best for
Reportpost: bookkeepers whose clients want the standard reports on a schedule and nothing more, at the lowest price.
ReportPilot: owners and bookkeepers who want the numbers explained, not only delivered, with a dashboard and an approval step.
Trying ReportPilot next to Reportpost
You do not have to switch to compare. Xero lets one organisation connect to several apps at once, and ReportPilot only reads from Xero, so it cannot change anything another app relies on.
- Connect Xero with Connect Xero: pick the organisation on Xero's own screen. ReportPilot gets read-only access; no card is needed for the 14-day trial.
- Read the first email. ReportPilot loads 24 months of history, usually within a few minutes, and sends the first insight email. Put it next to the report you get from Reportpost today and ask which one the owner would actually read.
- Set up one report pack (bookkeepers): the Profit and Loss, Balance Sheet and aged receivables as PDF or Excel, monthly, with approve-before-send so nothing reaches a client before you have looked at it.
- Run both for a full month end. Only then decide whether some or all clients move. Keep Reportpost for the work ReportPilot does not do: consolidation, forecasts and custom reports.
